The Tennessee Walking Horse Breeders’ & Exhibitors’ Association (TWHBEA) is a well-established, non-profit organization located in Lewisburg, TN. We are dedicated to promoting and preserving the heritage, standards, and versatility of the Tennessee Walking Horse. We operate with a small, close-knit office staff and are currently seeking a dedicated and highly organized individual to join our team.

Position Summary:

The Executive Assistant / Program Manager is a dynamic and integral role, responsible for supporting the CEO/Registrar with administrative and program oversight duties. This position plays a key role in daily office management, member service, program execution, and registry support functions. Key Responsibilities:

  • Assist the CEO/Registrar with daily administrative tasks including:
    • Phone call handling
    • Travel arrangements
    • Scheduling and document/report organization
  • Fulfill and manage all TWHBEA Gift Shop orders
    • Maintain monthly inventory and sales reporting
  • Assist with registry tasks:
    • Horse registrations and ownership transfers
    • Membership enrollment and renewals
  • Respond to incoming calls when the receptionist is unavailable
  • Support facility management, maintenance, and purchasing needs as required
  • Provide oversight and coordination for key TWHBEA programs:
    • Youth Programs
    • International Programs
    • International High Points
    • Master Breeders
    • Hall of Fame
    • Versatility Program
    • Trail Program
    • GO Gelding Program
    • Motivated Mares Program
  • Assist in event management for TWHBEA-produced events:
    • Annual Meeting & Semi-Annual Meeting
    • Awards Banquet
    • World Versatility Championship
    • Lunch With the Legends
    • “Here’s to the Horse” Legislative Reception
    • Youth Judging Contest

Qualifications:

  • High School Diploma or GED required
  • Minimum 3 years of relevant administrative, program management, or office coordination experience
  • Experience or knowledge of the equine or livestock industry is strongly preferred

Skills & Abilities:

  • Strong computer skills with proficiency in Microsoft 365 (Outlook, Word, Excel, etc.)
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to prioritize and manage multiple projects simultaneously
  • Strong interpersonal skills; comfortable interacting with members, stakeholders, and the general public
  • Capable of working independently and as part of a team
  • Willingness to learn and take initiative in a fast-paced office environment
